AutoFill And Custom Lists In Excel 2007

Excel's AutoFill feature relies on the program's ability to recognize patterns in the data that you enter. For example, if you type "Week 1" in a cell, you can have the program automatically fill in "Week 2", "Week 3", etc. by using the AutoFill handle. This is located in the bottom right of the cell. As the cursor moves over it, the cursor changes appearance to a plus sign (+). When it does so you simply click, hold, drag in any direction and Excel will pick up the pattern and extrapolate it to create automatic data entries.

Whenever you use the AutoFill handle Excel displays the AutoFill Options drop down menu just below the last cell which has been automatically generated. If the program has not entered the correct data, you can choose one of the entries in the AutoFill Options to tell it what you actually meant it to do. For example, if you choose Copy Cells, you simply get an exact copy of what was in the original cell.

Excel also has the ability to automatically enter arbitrary series of data using a feature called Custom Lists. Certain lists are built into Excel, for example, the months of the year. To use the AutoFill feature, enter the first value in the list, for example, "Jan" or "January". Next drag the AutoFill handle (located in the bottom right of the active cell) in any direction to automatically enter the rest of the custom list.

As well as these built-in lists, Excel allows you to create your own custom lists. For example, suppose you work for a company that has branches in several towns. It's a safe bet that you'll need to list these towns quite frequently in your spreadsheets. You could therefore save yourself considerable time by setting up the towns as a custom list.

To do this, simply select cells in one of your worksheets that contain the information. Next, click on the Office button and choose Excel options. Click on "Edit Custom Lists" in the "Popular" category. Excel displays the contents of the cells that we highlighted. To convert the selected data into a custom list, we simply click on the "Import" button.

This custom list can now be used in any of our worksheets, not just the sheet that contained the original information. Whenever we need out list, we simply type the first value. We then use the AutoFill handle to generate the remaining entries. When using AutoFill, you can drag in any direction and you don't have to start with the first element in the custom list.

Custom lists can also be entered directly in the "Custom Lists" dialog box. To do this, click on the "List Entries" button and type the list separating entries with a carriage return. After entering the list, click on the Add button to make it permanent.

To delete a custom list, simply highlight its name and click on the "Delete" button. Excel checks to see that you really want to delete it. When you click "OK", the list is permanently deleted. - 15465

Excel 2007 Number, Currency And Accounting

When entering numbers into a spreadsheet, one often needs to ensure that the number format is consistent. For example, if the numbers represent prices, you may want to display the appropriate currency symbol or you may simply want to ensure that the number of decimals displayed is always the same.

Unless you specify otherwise, all numbers in Excel are rendered in the "General" format. This means that numbers are displayed exactly as you enter them: if you enter two decimals, two decimals are displayed; if you went to one decimal, one decimal is displayed; and so on.

When specifying the number format, the best idea is usually to select the whole column. To do this, click on the letter or letters representing the column. (Any text contained in the selection will not be affected by the number format you specify.)

Number formats are specified in the "Numbers" group of the Home Tab of Excel's Ribbon. There are three important formats which apply to numbers: the first is simply called "Number", the second "Currency" and the third "Accounting". To gain access to the complete range of number formats, click on "More Number Formats" in the "Numbers" drop-down menu. Another way of opening the "Numbers" dialog box is to click on the launch button in the "Numbers" group of the Home Tab of the Excel Ribbon.

When you click on one of the number formats on the left of the "Numbers" dialogue box, you are given a series of choices which enable you to refine the way that the format will work. Thus, if your numbers refer to an hourly rate, you would click the "Number" category in the left column and then specify two decimal places. The option to "Use Thousands Separator" will add the appropriate separator to demarcate thousands. The separator used will depend on your locality: for example, in the UK or USA, a comma will be used; in European countries, a dot will be used.

The final option in the "Number" category controls the display of negative numbers. The default is to display a minus sign in front of the number and leave the colour of the number unchanged. However, you can also dispense with the minus sign and change the colour of negative numbers to red; or you can both change the colour of negative numbers to red and display the minus sign.

Clicking the "Currency" category, reveals pretty much the same choices as "Number" with the addition of a currency symbol. You can specify which currency symbol is used or you can dispense with the currency symbol altogether.

The "Accounting" category is almost identical to "Currency". Once again, we can choose the currency symbol. However, you will notice that there are no choices relating to negative numbers. The convention in accountancy is to put negative numbers in brackets.

In addition to using the number dialog box, you'll notice that there are a series of handy buttons which can apply each of the appropriate formats with one click. There are also two buttons for increasing and decreasing the number of decimals displayed in the selected numbers.

Finally, there may be times where you enter a number into a cell but do not want Excel to treat it as a number. For example, if you have a column of data representing an ID, although the ID may be numeric, you may not want Excel to regard it as a number or to modify it in any way. You will probably want it to simply stay exactly as it was entered. Whenever that's the case, it's best to format the number as "Text". The simplest way of doing this is to highlight the appropriate column and in the number dialog box choose "Text" as the category. - 15465
